Questions buyers ask
Straight answers before you shortlist.
The questions we hear most from companies looking at Collabit, answered plainly. If yours is not here, ask a specialist in a free consultation.
The product
Who is Collabit for?
Companies that deliver compliance and field services, such as HVAC and F-Gas, electrical, water hygiene, fire safety, security, facilities, construction and waste, as well as general field service teams. In-house estates teams use it too, for example East Anglian Air Ambulance and Moulton College.
What does it replace?
Quotes, jobs, planning, engineers' forms, certificates, customer reports, stock and invoicing in one system, in place of spreadsheets, paper and separate tools.
Does it track stock and parts?
Yes. Products, stock, stock movements, suppliers and purchase orders sit in Collabit alongside the jobs that use them, so stock is not managed in a separate silo. You can use just the stock areas you need.
Is it cloud-based?
Yes. Nothing to install on your computers: you use Collabit in a web browser, and engineers use the Collabit app on a phone or tablet.
Can we keep our existing forms and certificates?
Yes. We start from the forms and certificates you use today and set Collabit up around them, so engineers record the same information in a better way.
Do engineers need a signal?
No. The app keeps working offline, for basements and sites without a signal.
Can our clients see their records?
Yes. The customer portal gives your clients their reports, certificates and asset status, so you stop emailing PDFs.
Do we have to use the AI?
No. Collabit is a complete system without it. When you are ready, features such as the AI Planner suggest work for your team to review, adjust and confirm.
Moving to Collabit
Can we move from our current system?
Yes. We agree what can be exported, what needs cleaning and what should come into Collabit. Data can come from an import spreadsheet or be extracted from your current system, then we map it and check samples with you.
Do we have to change everything at once?
No. We can agree priorities and a phased approach where that suits your operation.
How long does it take?
It depends on the scope, your data, the number of users and any integrations. As a guide, a full CAFM implementation typically takes three to five months. See the onboarding steps.
Who trains our team?
Our customer success team, with a training plan built for your company using your own configured data. Training is role-based, mostly live and remote, with on-site sessions where needed.
Pricing and contract
How is Collabit priced?
A one-off implementation fee covers setup, configuration, data migration, training and go-live support. Then a licence based on the number of users, which includes hosting, upgrades, maintenance and standard support. How pricing works.
Why is there no price list?
Teams need very different numbers of users, modules and onboarding, so a list price would be wrong for most companies. A specialist gives you a written price for your team in your free consultation, with no obligation to buy.
Will it pay for itself?
Work it out with your own numbers in the savings calculator. AquaChem saves 20+ hours of admin a week, and J&D Water Consultants freed up two full-time roles' worth of workload.
Security and data
Are you certified?
Yes. ISO 27001:2022, certified by Alcumus ISOQAR. Trust and security.
Where is our data?
On Amazon Web Services. For UK customers, data and backups are hosted in the UK, encrypted in transit and at rest.
Does it connect to our accounts package?
Yes: Xero, Sage, QuickBooks and Exchequer. Google Workspace and Microsoft 365 connect for sign-in, calendar and email, and there is a REST API and an MCP server. Integrations.
Support
How do we get help?
Call 020 7183 2400 or email support@collabitsoftware.com, Monday to Friday, 9am to 5pm UK time. How support works.
Is support extra?
No. Standard support and upgrades are included in your licence.
